Planning Fall Festival Entertainment: A Complete Guide

August 18, 2025

Fall festivals are a cherished tradition throughout Missouri and Illinois. As someone who's provided entertainment at dozens of festivals across the St. Louis metro area, I've learned what works best for these community events. Here's your complete guide:

Start Planning Early

Fall festival season (September-October) books up quickly. I recommend securing your entertainment by late July or early August. Popular dates like the first weekend of October fill up fast for events in St. Charles County, St. Louis County, and Metro East Illinois.

Choose Age-Appropriate Entertainment

Fall festivals typically attract families with children of all ages. Face painting works for ages 3-10, balloon twisting appeals to ages 2-8, and caricatures work for all ages. Consider booking multiple types of entertainment for variety.

Plan for High Volume

Festivals in Clayton, Chesterfield, and other St. Louis communities can draw hundreds or thousands of attendees. Calculate your expected attendance and book enough entertainment hours. For a festival expecting 500 attendees over 4 hours, I'd recommend at least 2-3 entertainers to keep wait times reasonable.

Consider Weather

Missouri fall weather can be unpredictable! Have a backup plan for rain or extreme heat. I always bring pop-up tents for shade and protection. For outdoor festivals in Ballwin, O'Fallon, or Edwardsville, having covered entertainment areas is essential.

Seasonal Design Themes

Fall festivals are perfect for seasonal designs:

  • Pumpkins and jack-o'-lanterns
  • Fall leaves and autumn colors
  • Harvest themes with corn and scarecrows
  • Halloween characters (for October events)
  • Woodland creatures like owls and foxes

Set Up Logistics

Entertainment areas need adequate space, good lighting (especially for evening festivals), shade or a tent for hot days, and clear signage. I've worked festivals throughout Wentzville, Maryland Heights, and Lake St Louis—proper setup makes everything run smoothly.

Manage Lines Effectively

Long lines can frustrate guests. Consider:

  • Ticket or wristband systems to manage flow
  • Designated line areas with clear markers
  • Multiple entertainment stations
  • Estimated wait time signs

Budget Considerations

Festival entertainment is an investment in attendee satisfaction. Face painting, balloon art, and caricatures typically cost $125-150 per hour per entertainer. For a 4-hour festival with 2 entertainers, budget $1,000-1,200. This investment pays off in happy families and positive community engagement.

Promote Your Entertainment

Advertise that you'll have face painting, balloon art, or other entertainment in your festival marketing. This attracts families and increases attendance at events throughout the Greater St. Louis region.

Safety and Insurance

Ensure your entertainers are insured. I carry liability insurance through Specialty Insurance Agency, which protects both the festival organizers and attendees. This is especially important for larger community events in Florissant, University City, and other municipalities.
